Titles, captions and credits

Titles are best short and simple, but should also convey enough about the image to differentiate it from others.

Captions should be written as if this was the only information given about the picture. This means that if the picture is used in another context the original context will remain clear. For instance, a picture may have been taken as part of a set about pupils' art work but might be used later to illustrate an article about a forthcoming event.

Captions should not contain the names of pupils, particularly younger pupils. A record of the names of children pictured may be added to the notes, which will not be shown on public pages.

The creator is the person who created the image, usually the photographer. Names of artists whose work is depicted should be entered into the caption field. Likewise, the creation date is the date the photographic record was created and is independent of the date of creation of any work depicted in the image. Thus a photograph taken in June of a sculpture made in December would be given a creation date of "June" and then "December" would be added to the caption.

Files and file size

Image files can be uploaded easily and the various sizes required by the site are generated automatically from a single master image. Thumbnail images are generated automatically but a customised thumbnail can be separately uploaded to accommodate images where the automatic thumbnail is lacking in clarity or impact.

Files can be of any common image format, though the automatic resizing may encounter problems with some GIF and PNG files. JPEG files are the most reliable.

Image upload begins once the "Insert" button is used. Remember that you are uploading a file to the server, so it will take time for the upload process to complete, depending on the size of the file.

Whatever size of image being uploaded, the maximum dimensions will be constrained to 640 pixels (width or height) so resizing the image can be done as part of the upload process, though this will cause slower uploads so try to get the file size down before uploading.

In each case the image height will be reduced in proportion, maintaining the image's original aspect ratio.

Custom thumbnails must be exactly 72 x 72 pixels at 72 ppi.

If an image needs to be replaced, simply upload a new image and wherever the original image appears in the site it will be replaced by the new image. Note that the new image will be renamed automatically by adding a number to the file name ( e.g. "mypicture_1.jpg") and the original image is retained on the server so reverting to the original is possible, though it might require additional intervention from the webmaster.

File names

Naming files methodically helps to identify images and saves a lot of time. Cameras generally produce images with filenames such as "IMG_0674.jpg" which gives away nothing about the image apart from a sequence number. Images sometimes contain embedded meta-data but this requires special software to read (and is sometimes useless anyway because the camera's date has not been set correctly). So the safest and simplest method is to give the file a useful name.

File names must not contain spaces, or characters other than in the ranges a-z, A-Z, or 0-9. Accented characters are not practical. Use dashes as separators.

Case doesn't matter, but lowercase is preferred.

  1. Begin each file name with the initials of the photographer followed by the date the photograph was taken in YYMMDD format, e.g. "jb050625" (if the day or month is unknown use "00", e.g. "jb050600" or "jb050000" ;

  2. if the picture is one of a series, give a series number: "jb050625-01" ;

  3. add a short descriptive name, such as "jb050625-01-summerfair" ;

  4. make sure the file has a file type—a three-letter suffix such as ".jpg", e.g. "jb050625-01-summerfair.jpg" ;

When uploading separate images for thumbnails, filename must start "thumb-", e.g. "thumb-jb050625-01-summerfair.jpg".
